ADMINISTRATIE ASSISTANT

POSITION OVERVIEW:

The Administrative Assistant will provide secretarial and general office clerical support to the IV&V management and technical program staff. The position is based Hampton Roads, VA.

These efforts will be based at NAVFAC facilities in the Norfolk/ Hampton Roads, VA area.

This position will be filled if Parsons is successful in winning the NAVFAC Contract. Contingent offers may be made prior to Award which is anticipated in early September 2008. Mobilization is expected early in October 2008.

In accordance with established procedures, performs a variety of routine and non-routine administrative, clerical, data collection, and report writing tasks specific to the group assigned. Receives direction from immediate supervisor in completing non-routine assignments.

SPECIFIC RESPONSIBILITIES::

Provide secretarial and clerical support for the preparation of technical studies, construction inspection reports, and cost estimates, including word processing, graphics development, reproduction, and file management.

Provide secretarial and clerical support for the preparation of meeting minutes, consolidation of design review comments, and maintenance of action tracking systems.

Provide administrative support for the logging, distribution, tracking, and file management of incoming technical and administrative documents, including but not limited to engineering submittals, Construction Requests for Information, Delivery Order Requests for Proposal, and Delivery Order contract documents.

Gather statistics and general data; reviews and combines this information into established reports for use within and outside the unit. May develop new reports or revise existing reports, as directed. Such reports may be in spreadsheet or graphical formats, or narrative-style word processing. May be responsible for verifying data gathered, such as matching supplier invoices against file copies. Distributes reports as directed by immediate supervisor.

Review time reports to verify accuracy of hours worked and Job#/WBS charges. Follow up to ensure timely processing of corrections.

Maintain employee directory and related data pertaining to employees assigned to the unit, including company resumes. Tracks paid-time-off hours charged and maintain schedule of future hours to be taken.

Orginate correspondence and reports not requiring the personal attention of immediate supervisor. Answer telephone, taking and relaying messages. Receive, sort, and distributes mail.

May establish and maintain records of equipment, including a log of equipment service dates. May initiate requests for service.

May obtain basic data for completion of the unit's overhead budget and prepare associated recurring reports. May produce preliminary reconciliation as appropriate.

May coordinate physical space requirements for the assigned unit. Initiates requests for PCs and telephones, and updates Corporate Directory as appropriate.

May work closely with immediate supervisor in tracking timeliness of performance appraisals and preparing documents related to personnel actions.

May periodically prepare an occupancy report by project or gather information to complete staffing reports for the unit and/or several projects, as directed by immediate supervisor.

Perform other responsibilities associated with this position as may be appropriate

PREFERRED EDUCATION/EXPERIENCE:

High school diploma (or equivalent) and 5-8 years of experience working with an Architectural/ Engineering firm, construction contractor or Federal Agency that solicits and administers Capital Improvement projects. .

US Citizenship is required.

SKILLS/COMPETENCIES:

Good written and oral communication, organizational, and interpersonal skills are required. Additionally, a demonstrated proficiency in keyboard skills and the utilization of MS Windows and related word processing, spreadsheet, and database software, is required. A working knowledge of company policies and procedures is preferred.
